Privacy Policy

This policy explains how Future Solutions Online Ltd ("we", "us"), which trades as Future Solutions, handles your personal data when you use Gofuso Zero (the "Service"). We are the data controller for the purposes of UK data protection law.

1. Information we collect

Account details - your name and email address, used to create and secure your account.
Authentication data - sign-in credentials and session tokens, handled by our authentication provider.
Connected-service tokens - when you connect a service such as Podio, Gmail, Outlook, Microsoft Teams or Google Chat, we store the tokens needed to keep that connection working. They are encrypted before they are stored and are never saved in your browser.
Service content - the notifications and messages from the services you connect. Your browser fetches these directly from each service and shows them to you; we do not keep copies of your messages on our servers (we do cache Podio organisation logos, so they load quickly). A cached copy is kept on your own device so the app opens quickly, and it is cleared when you sign out. Items you choose to save or add to an agenda (with the item's title), notes and boards you create, names you give your connections, and simple daily counts (such as how many items you cleared) are stored with your account.
AI features (optional) - if you add your own Claude or OpenAI key, it is encrypted before it is stored. When you ask for a suggested reply or an inbox summary, the relevant message text is sent through our server to the provider you chose, using your key. We do not keep that text or the result.
Basic usage data - limited technical information needed to operate and secure the Service, such as error records when an action on a connected service fails.

Billing information. When you subscribe to a paid plan we collect the information needed to manage your subscription - your plan, subscription status and billing history. Card and payment details are collected and stored by our payment processor, Stripe; we do not see or store your full card number.

2. How and why we use it

We use your data to provide the Service: to authenticate you, connect the services you choose, retrieve and display your notifications, and keep the Service secure. Our legal bases are performance of our contract with you, your consent (for each service you connect), and our legitimate interest in running a secure, reliable product. We do not sell your data or use it for advertising.

3. Sharing and processors

We share data only with service providers that help us run Gofuso Zero - including our hosting, authentication and database providers - and with the third-party services you explicitly connect (Podio, Google and Microsoft). Each processes data under its own terms and only as needed to deliver the Service.

AI providers - if you use the optional AI features, Anthropic (Claude) or OpenAI receives the text you ask it to work on. You use your own key and your own account with that provider, so its terms and privacy policy apply to that processing.

Fonts - the app loads its typefaces from Google Fonts, so Google receives your IP address and browser details when those files load.

Stripe - payment processing and subscription management. Stripe receives the payment and billing information necessary to take payment and is an independent controller of that data under its own privacy policy (stripe.com/privacy).

4. Retention

We keep your data for as long as your account is active. You can disconnect a service at any time, which removes its stored tokens, and you can ask us to delete your account and associated data.

5. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to the processing of your data, and to data portability. To exercise any of these, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

6. Security

We encrypt stored connection tokens and AI keys, and apply appropriate technical and organisational measures to protect your data. Our security overview describes these in more detail. No system is completely secure, but we work to keep your information safe.

7. Cookies and local storage

We use your browser's local storage to keep you signed in, remember your in-app preferences, and hold the cached copy of your inbox described above. This storage is needed for the Service to work, and the cached inbox is removed when you sign out. We do not use advertising or tracking cookies.

8. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "last updated" date above.
